After-School All-Stars Donor Privacy Policy

After-School All-Stars (ASAS) is committed to respecting the privacy of our donors. It is our utmost priority to ensure the security of our donors’ personal information, as outlined in this donor privacy policy.

Donor Information Collected
See below for the types of donor information that we collect and maintain in order to process your donation and/or engage you in our mission:

  • Personal information: name, organization/company, mailing address, billing address, phone number, email address, and/or other personal information provided by the donor such as donor requests, comments, and/or engagement with ASAS
  • Donation information: amounts donated, date of donation(s), method and stimulus such as the event, marketing campaign, and/or other occasion that was the reason for the gift
  • Payment method and information: Check number, wire number, transaction date. Credit card numbers used to process donations are not retained. Scans of deposited checks and accompanying documentation are retained for audit purposes
  • Non-personally identifiable information, such as how many hits each ASAS website page receives, and if the visitor is repeat or new. This requires that a ‘cookie’ be sent to your web browser

How Information is Used
ASAS uses your data to maintain records of donations, send acknowledgements, mail your year-end tax statements, send newsletters, notices and direct mail pieces, and for internal marketing purposes. We publish the names of our donors with total giving of $1K and up in our annual report. Donors are recognized by giving tier only with the gift amount not disclosed. Donors may request to be recognized as “Anonymous” and/or forego public recognition. Donations over 2% of our entire budget must be reported on IRS Form 990, Schedule B. 

We automatically add donors to our mailing list and notify them of opportunities for future donations. Donors may unsubscribe at any time, or request to be excluded from this mailing list. Our third-party mailing service is contractually obligated to treat the lists with confidentiality and is prohibited from transferring them elsewhere.

No Sharing of Personal Information
ASAS will not sell, rent, trade or transfer your personal information to outside organizations. Use of donor information will be limited to the internal purposes of ASAS and only to further the mission of ASAS. We may employ outside contractors and/or service providers to perform services for ASAS that will give them access to your information. We require that our contractors and/or service providers limit their use of our donor information to the purposes dictated by ASAS and that the security of our donor information is maintained and not shared with outside parties. Nevertheless, security measures may not prevent all losses, and ASAS is not responsible for any damages or liabilities relating to security failures.

Credit Card Donations
ASAS processes credit card donations through our website and/or mobile forms using third party merchants that are PCI compliant. When you submit a donation, we receive a notification of the donation amount, payment method, and the contact information you provide. Credit card numbers are NOT retained once processed, and we do not have access to credit card information submitted via the payment processing form. Third party vendors have their own privacy policies, which govern their use of your information. If you choose to donate to an ASAS chapter that does not use one of the above vendors to process donations, please reach out to that chapter for their payment processor and related privacy policies. ASAS entities may use third-party vendors not listed in this Donor Privacy Policy to collect donations, manage event payments, send electronic appeals to donors, etc.

Children Under 13 Years of Age
ASAS will not knowingly use our website to collect personal information for or engage in marketing directed at children under 13 years of age.

Accessing Your Personally Identifiable Information
If you would like to access, correct, or delete your personal information, please contact us in writing. You may be required to provide identification before a request to access or modify personal information is considered. We may not be able to change or delete personal information if we believe the change would violate any law or legal requirement, cause the information to be incorrect, or if we are unable to verify your identity. ASAS would like to ensure that you are fully aware of your rights to access your personal data; request copies of your personal data; ask us to fix personal data if you believe it to be inaccurate; and/or erase your personal data under certain conditions.

Changes to the Policy
If ASAS decides to update this Privacy Policy, we will post those changes publicly on our website so donors are aware. We may also update donors of any changes to the Privacy Policy via email. Updates to this Privacy Policy will be effective upon posting.
